How long before I see results from PipelineOS?
It depends on the strategy. With paid ads — Google, Facebook, Yelp — you'll see results faster because those are more immediate. With SEO, it takes longer for Google to trust you and see you as an authority in your area. Depending on your market and competition, you could be looking at up to six months to see real results from SEO. That's why we layer on paid ads — they give you more immediate results while SEO builds over time.
Do I need to already have a website?
You don't need one to get started, but you will need one to use PipelineOS. If you don't have a website yet, that's fine — building websites is one of the services we offer and we're very good at it.
What if I'm already working with another marketing agency?
That's fine. You can use PipelineOS Core alongside your current agency. It gives you all the tracking and visibility you need on your existing campaigns without disrupting what's already in place.
How much does PipelineOS cost?
PipelineOS Core starts at a one-time setup fee plus a monthly retainer with a six-month minimum commitment. Add-on services are available depending on your goals: • Web Design: one-time project fee • Local SEO: three tiers based on how aggressively you want to pursue the campaign — the more aggressive, the faster you'll see results • Paid Ads Management: setup fee plus a percentage of ad spend • Email Marketing: monthly fee based on scope Exact pricing is based on your situation and goals. We'll go over everything on your discovery call and give you a custom recommendation.
What happens if I'm not happy with the results after a few months?
Our goal is to get you results — that's how we get graded. After three months, we'll do a full audit of your pipeline, campaigns, and follow-up process to identify what's working and what needs to shift. We'll make those adjustments together. Some things are out of our control — market conditions, how fast you answer calls, how you handle estimates — but we'll do everything on our end to help you hit realistic goals. That's what the weekly check-ins are for.
Do you work with businesses outside the service industry?
Yes. We work with any business that needs more leads, better lead tracking, and clearer visibility into how their marketing budget is performing.
What if my business is really small? Is there a minimum size to work with you?
The size of your business doesn't matter. What matters is whether the service makes sense for where you are right now. We'll figure that out together on the discovery call. If it's not the right fit yet, we'll tell you honestly — and give you some tips on what you can do to grow your business to the point where it does make sense.
How does call tracking work? Do I need special equipment or training?
No special equipment or training needed. We handle all the setup and technical side. You just run your business and answer calls like normal. We take care of everything else.
Can I cancel anytime, or am I locked into a contract?
We require a six-month minimum commitment. Here's why: there's significant upfront work to set everything up — call tracking, pipeline stages, automations, integrations. We do far more work in month one than we charge for in the setup fee. The six months gives us time to implement everything properly and get you to real results. It protects both of us.
What's included in the weekly check-ins?
We go through your leads together — calls by source (website, Google Business Profile, Yelp, Google Ads, etc.), which ones booked, where they stand in your pipeline, and updated job outcomes so we can track real ROI. It's also your chance to ask about tweaks or changes you want to make. We're actively managing your pipeline with you, not just sending you reports.
How often will I hear from you besides the weekly check-ins?
Weekly check-ins are built in, but I'm available between those too. If you have questions or concerns, call or text me and I'll get back to you as soon as I can. You're not just a ticket in a system — you're a client I'm invested in.
What if I'm already getting leads but I'm not closing them?
Then PipelineOS Core is a perfect fit. You don't need more leads — you need visibility and strategy. Most businesses don't have the data to know what's actually blocking closes. Once we have that data, we can see exactly where leads are getting stuck, what's working, and what needs to change. Then we use that to improve your process and help you close more deals from the same leads you're already getting.
Can I start with just Core and add services later?
Absolutely. In your discovery call, we'll evaluate your whole situation and recommend what we think will work best for your goals. But if you want to start with Core only, that's perfectly fine. You can add Web Design, SEO, Paid Ads, or Email Marketing whenever it makes sense for your business.
How do you measure success? What metrics do you actually track?
We track calls by source, answer rate, speed-to-lead, booked estimates, won jobs, and revenue per job. Every week we review your pipeline together — where leads are, which ones converted, which ones didn't, and why. That's how we know if something's working and what needs to change. No fluff. Just real data tied to your bottom line.
What if I don't have time for the weekly check-ins or to update lead outcomes?
The weekly check-ins are 15 minutes. Most businesses can carve that out. As for updating outcomes, we'll help you build a simple system so it doesn't feel like extra work — sometimes it's as easy as a quick text when a job closes. The less data we have, the less we can help you, so we work together to make it easy. But if you're genuinely too busy to track outcomes, PipelineOS might not be the right fit yet.
How long does setup take before I'm up and running?
For PipelineOS Core, we can typically have you running within two weeks — as long as we get timely access to what we need from you. Delays on your end will push that timeline back. If you're adding Web Design or SEO, those take longer and we'll map out the exact timeline on your discovery call.
What happens to my data if I decide to leave?

What if my business is seasonal?
Good question. If your business is heavily seasonal and a six-month commitment doesn't make sense for your calendar, we can have that conversation. We might be able to put together a custom plan, or we may determine that PipelineOS isn't the right fit right now. Either way, we'll be upfront about it on the discovery call.
Can you help me improve my closing rate or sales skills?
We can't sell for you, but we can help you see what's happening. With call recordings and pipeline data, we'll identify where deals are getting stuck — whether it's communication timing, pricing conversations, or follow-up gaps. We can point out the patterns and suggest adjustments. But ultimately, executing on those improvements is on you. Most clients find that once they can see the data clearly, they know exactly what to fix.
What's the difference between PipelineOS and just hiring a virtual assistant to manage my leads?
A VA can organize your leads, but they can't see patterns or tell you what's actually working. PipelineOS gives you the system and the data. We track where every lead comes from, how fast you respond, which sources close best, and what's costing you money. Plus, a good VA runs $1,500–$2,500 a month — and you're paying for someone to shuffle papers. With PipelineOS, you're paying for strategy and visibility tied to actual revenue. You get far more value.
